POSITION SUMMARY:

Provide general adminstrative support to the Senior Vice President, Consumer Engagement and specific initiative support for the Department.  

PRINCIPAL ACCOUNTABILITIES:

  • Schedule and maintain high volume of calendar meetings: confirming guest attendance, coordinating conference call bridges, booking and setting up meeting rooms, preparing copies for attendees, and managing all catering details (as needed)

  • Routine filing, faxing, photocopying and managing agenda on SVP’s behalf.

  • Organize and book travel arrangements including detailed itinerary and organization of all necessary documents (air, hotel, car service, visas).

  • Manage monthly expense report submissions.

  • Manage monthly update of Department budget tracking spreadsheets, submission of New Vendor forms, processing and electronic filing of invoices, meeting with Finance to manage monthly accruals and accounting reports.

  • Assist with setup of large cross-functional meetings, confirming guest attendance, coordinating conference call bridges, booking and setting up meeting rooms , preparing copies for attendees, and managing all catering details (as needed).

  • Order all computer equipment for Department and manage New Hire checklist setup needs.

  • Manage weekly Department update of materials to the IMW.

  • Schedule and attend team meetings; oversee agenda and issue meeting notes.

  • Act as Department point person for incoming inquiries and general requests.

  • Order and maintain office supplies, interoffice mailings, and shipments to outside partners.

  • Maintain library of International ad copies and library of product collection samples.

  • Manage coordination of all team updates for Key dates, Team Status, Marketing calendars, Regional presentations, TTT presentations, and the Marketing Fact Book.

  • Assist with collateral and other tracking documents & inventory reports.

  • Assist with adhoc Marketing & Artist Relations projects as needed

  • Assist Senior Vice President of Marketing with all presentations and PowerPoint needs.

Qualifications

  • 3 years related experience

  • College or University degree preferred.

  • Highly proficient in Excel, PowerPoint, Microsoft word. Ability to create new worksheets, schedules, and edit documents

  • Ability to multi-task many projects at once

  • Ability to manage multiple budgets and edit spreadsheet formulas

  • Ability to work well independently and problem-solve

  • Maintains good business judgment and professional conduct with all others

  • Aptitude for fast-paced creative environment with many challenging personalities

  • Highly organized with great attention to details
